Reserving manufactured or disassembled products

1C:Drive supports the process of reserving products that need to be manufactured or disassembled for completing a certain sales order.

The process includes the following steps:

  1. Place sales orders.
  2. Backorder products.
  3. Receive and reserve backordered products.
  4. Optional: Transfer reserved products to another warehouse.
  5. Optional: Change reservations.
  6. Issue reserved products to customer.

Before you perform these steps, ensure the inventory reservation process is set up. For details, see Setting up inventory reservation process.

Placing sales orders

As you need to reserve products for a certain order, Creating sales orders.

When you create a sales order, do the following:

  1. In the Warehouse field, specify a warehouse that you want to issue the products from.
  2. On the Products tab, in the Quantity field, enter the number of product items to sell.
  3. To reserve the product quantity available in the warehouse, click Reservation and select Allocate.

If the products are available, the available quantity is prefilled in the Reserved field. As you post the sales order, this quantity is reserved for the sales order in the specified warehouse. To cover the need in the remaining product quantity required for the sales order, place a backorder. See Backordering products.

Backordering products

To backorder products that need to be manufactured or disassembled for a sales order, create a production order based on the sales order. To do this:

  1. Go to Sales.
  2. Under Sales, click Sales orders.
  3. In the Sales orders list, locate a sales order and ensure that its Status is select In progress.
  4. Click Generate > Production order.
    A production order is displayed. Its details are prefilled from the sales order, including the following:
    • Reservation under. The sale order that the production order is based on.
    • Quantity. The product quantity to manufacture or disassemble. By default, it is prefilled with the product quantity not yet reserved for the sale order. You can edit it. For example, in a sales order, the product quantity is 10 and the reserved quantity is 2. Then, the quantity in the generated production order is 8. 1C:Drive records this quantity as backordered when you post the production order.
  5. Review other production order fields and edit them if required. For the description of the fields, see Creating production orders.
  6. Click Post and close.

Receiving and reserving backordered products

You can reserve the backordered products as you record their receipt to a warehouse. To do this, create a production document when the product manufacturing or disassembling is completed.

The following table shows the options to quickly create a production document, process types and steps to apply the options:

Generate a production document based on a production order Assembly or Disassembly
  1. Go to Production.
  2. Under Production, click Production orders.
  3. In the Production orders list, select or double-click a production order.
  4. Check that the production order status is In progress or Completed.
  5. Click Generate > Production. A production document is displayed. Its details are prefilled from the production order, including the following:
    • Production order. The production order that the production document is based on.
    • Reservation under. The sales order that the products were manufactured or disassembled for.
    • Quantity. The product quantity to store and reserve for the sales order. For the Assembly process type, the quantity is on the Finished products tab. For the Disassembly process type, it is on the Components tab.
  6. In the Transfer to field, specify the warehouse where you want to transfer and reserve the products for the sales order. For the Assembly process type, the field is on the Finished products tab. For the Disassembly process type, it is on the Components tab.
  7. Review and edit other production document fields if required. For details, see Creating production documents.
  8. Click Post and close.
Generate a production document based on a work-in-progress document Production
  1. Go to Production.
  2. Under Production, click Work-in-progress.
  3. In the Work-in-progress list, select or double-click a work-in-progress document.
  4. Check that the work-in-progress document status is Completed.
  5. Click Generate > Production. A production document is displayed. Its details are prefilled from the work-in-progress document, including the following:
    • Production order. The production order based on the sales order that the products were manufactured or disassembled for.
    • Reservation under. The sales order that the products were manufactured or disassembled for.
    • Work-in-progress. The work-in-progress document that the production document is based on.
    • Quantity. The product quantity to store and reserve for the sales order. It is on the Finished products tab.
  6. On the Finished products tab, in the Transfer to field, specify the warehouse where you want to transfer and reserve the products for the sales order.
  7. Review and edit other production document fields if required. For details, see Creating production documents.
  8. Click Post and close.

Note. Instead of a warehouse, you might need to transfer the products to a department fist. In this case, in the Transfer to field, specify the department. When the products are ready for the customer, you will need to create an inventory transfer to record the product movement from the department to a warehouse. Invoicing products issued for a department is restricted.

Transferring reserved products to another warehouse

You can transfer the reserved products from one location to another. For example, transfer the reserved products to a certain warehouse upon a customer's request. As you transfer the products, their reservation is transferred as well.

The following table shows the options to transfer the reserved products and steps to apply them:

Option to transfer reserved products Steps
Generate an inventory transfer based on a production document
  1. Go to Production.
  2. Under Production, click Production.
  3. In the Production documents list, select or double-click a production document.
  4. Click Generate > Inventory transfer. An inventory transfer is displayed. Its details are prefilled from the production document, including the following:
    • From. The location to transfer the reserved products from.
    • Base document. The production document.
    • Order. The sales order that the products are reserved for.
    • Quantity. The product quantity to transfer. Edit it if required.
    • Reserve. The reserved product quantity. Edit it if required.
  5. In the To field, specify the warehouse to transfer the reserved products to.
  6. Review and edit other inventory transfer fields if required. For details, see Creating inventory transfers.
  7. Click Post and close.
Create an inventory transfer from scratch
  1. Go to Warehouse.
  2. Under Warehouse, click Inventory transfers.
  3. In the Inventory transfers list, click Create.
  4. Ensure that the inventory transfer Operation is Transfer.
  5. Fill in the inventory transfer fields, including the following:
    • From. The location to transfer the reserved products from.
    • To. The warehouse to transfer the reserved products to.
    • Order. The sales order that the products are reserved for.
    • Quantity. The product quantity to transfer.
    • Reserve. The reserved product quantity.
  6. Review and edit other inventory transfer fields if required. For details, see Creating inventory transfers.
  7. Click Post and close.

Changing reservations

You can change the product quantity reserved for a sales order linked to a production order. Do this after you receive and reserve the products backordered for the sales order. For details, see Receiving and reserving backordered products.

The following table shows the reservation update options and steps to apply them:

Reservation update option Steps
Decrease or completely remove the reservation
  1. Go to Sales.
  2. Under Sales, click Sales orders.
  3. In the Sales order list, locale a sales order and ensure that its Status is In process.
  4. Click Generate > Clear reservation The inventory reservation document is displayed with the following fields are prefilled:
    • Reservation under. The sales order.
    • Quantity. The reservation quantity to be cleared. It is prefilled with the total product quantity reserved for the sales order. It includes both the product quantity reserved on the Products tab of the sales order and the quantity of the products received for the backorder.
    • Original warehouse. The warehouse where the products are reserved.
  5. To decrease the reserved quantity, edit the Quantity field. To completely remove the reservation, keep the field value as is.
  6. Click Post and close.
Increase the reserved product quantity. This applies if you make a partial reservation for a sales order and later need to reserve more to cover the total ordered quantity.
  1. Go to Sales.
  2. Under Sales, click Sales orders.
  3. In the Sales orders list, locate a sales order and ensure that its Status is In process.
  4. Click Generate > Reserve. The inventory reservation document is displayed with the following fields are prefilled:
    • Reservation under. The sales order.
    • Quantity. The product quantity to be reserved. It is prefilled with the remaining product quantity to be reserved for the sales order.
    • New location. The warehouse where the products are reserved.
  5. To increase the reserved quantity, edit the Quantity field.
  6. Click Post and close.
Change the reservation location. For example, transfer the reservation from one warehouse to another without moving the products.
  1. Go to Sales.
  2. Under Sales, click Sales orders.
  3. In the Sales orders list, locate a sales order and ensure that its Status is In process.
  4. Click Generate > Reserve.The inventory reservation document is displayed with the sales order prefilled in the Reservation under field.
  5. On the Inventory tab, specify the product details, including the following:
    • Original location. A warehouse where the reservation was originally placed.
    • New location. A warehouse that you want to transfer the reservation to.
  6. Click Post and close.

Issuing reserved products to customer

You can issue the reserved products to a customer. This will decrease the reserved quantity in the specified warehouse. The decrease can be only by a number that does not exceed the total product quantity reserved for the sales order.

To issue the reserved products to a customer, consider the following table. It describes the options to issue the reserved products, business scenarios and steps to apply the options:

Generate a sales invoice based on a sales order. Goods shipment together with a sales invoice
  1. Go to Sales.
  2. Under Sales, click Sales orders.
  3. In the Sales orders list, select or double-ckick a sales order line.
  4. Click Generate > Sales invoice.
    A sales invoice is displayed. Its details are prefilled from the sales order, including the following:
    • Reservation under. The sales order.
    • Warehouse. The warehouse where the products are reserved.
    • Reserve.The total product quantity reserved for the sales order. This includes the product quantity reserved on the Products tab of the sales order and received for the backorder. For details, see Receiving and reserving backordered products.
  5. Review and edit other sales invoice fields if required. For the description of the fields, see Sales invoices.
  6. Click Post and close.
Generate a goods issue based on a sales order Goods shipment before a sales invoice.
  1. Go to Sales.
  2. Under Sales, click Sales orders.
  3. In the Sales orders list, select or double-click a sales order line.
  4. Click Generate > Goods issue.
    A goods issue is displayed. Its details are prefilled from the sales order.
  5. Review and edit the goods issue fields if required. For the description of the fields, see Goods issues.
  6. Click Post and close.
