To manage goods movement in warehouses, use advanced warehousing. When you use advanced warehousing, registration of invoices recording warehouse operations for bookkeeping and performance of goods movement operations in a warehouse happen in different time.
The actual goods movement in warehouses is recorded by warehouse documents.
For example, a sales person registers invoices (Purchase of goods and services and Sales of goods and services), and a warehouse supervisor records receiving and shipment of goods from a warehouse using the Goods receipt note and Goods issue note warehouse documents.
For each warehouse, you can individually set up the use of advanced warehousing for various kinds of warehouse operations. For example, you can use advanced warehousing upon goods receipt but do not use it upon shipment or stocktaking (record of surplus, shortage, and damage of goods). Advanced warehousing can be applied only if warerooms are used. In this case, invoices are registered for a warehouse, and a wareroom shall be specified when registering goods issue (receipt) notes.
You can configure usage of advanced warehousing in a warehouse by selecting Master data and settings – Master data and sections – Warehouse and delivery – Warehouse – Advanced warehouses.
You can configure usage of advanced warehousing for receipt, shipment, and record of surplus, shortage, and damage of goods on the Advanced warehousing and structure tab in a warehouse profile by selecting the respective check boxes: on receiving, on shipment, and on recording surplus, shortages, misgrading, and damage.
When you use advanced warehousing, goods receiving/shipment can be itemized using statuses.
You can use statuses of goods receipt notes by selecting the Goods receipt note statuses check box; of goods issue notes – by selecting the Goods issue note statuses check box. It is required to use statuses if warerooms, bin location warehousing, or series accounting of goods are used in a warehouse.
Using statuses allows you to record each stage of a warehouse supervisor's (a warehouse worker's) work when registering goods receiving and shipment. For example, during registration of goods shipment from a warehouse, the following stages are controlled: goods picking and picked goods check.
If advanced warehousing is not used, a goods movement is recorded using invoices (for example, Purchase of goods and services, Sales of goods and services, and Goods transfer).
When you use non-advanced warehousing, it is impossible to divide a warehouse into warerooms and itemize receiving/shipment from a warehouse.
Controlling warehouse stock balance
To control company stock balance, select Master data and settings – Master data and sections – Financial result and controlling – Goods accounting – Control company stock balance. Such control allows you to avoid negative balance of goods and shows which company owns the goods. The control is fulfilled when posting invoices.
When registering goods outflows and transfers, company balance as of the end of the month and on the date of the last goods movement document is controlled.
To control goods balance in warerooms and warehouse bins, select the Control real-time balance check box on the Advanced warehousing and structure tab in a warehouse profile.
Real-time balance is controlled when posting goods issue notes and creating jobs for goods picking and placement. Registration of the Goods issue note and Goods picking (placement) documents for goods that are not available in a warehouse will be locked. If advanced warehousing is not used in a warehouse, the check box determines balance control by series specified during picking planning.
If this check box is not selected, warehouse balance will not be controlled while registering the Goods issue note and Goods picking (placement) documents.
To control available warehouse stock balance considering order reserves and expected goods receipts, select the Control supply check box in a warehouse (store) profile. Order reserves are formed if the Reserve to date, Reserve at warehouse, or Ship action is set in orders.
In this case, when you register goods movement documents, warehouse stock balance will be controlled considering goods reserved in a warehouse and placed in purchase orders. If there is no need to control balance of a particular item, enter it in the Exceptions list.
Supply control allows you to avoid generating several references for shipment of the same goods to the same customer.
